CALL
HOLD/QUEUE - When enabled, this feature allows the WIN Communications
Automated Attendant - Voice Mail system to give callers who are transferred
to a busy station the opportunity to hold.
CALL
SCREENING - When enabled, this feature requires callers
to record their name before being transferred to an extension/mailbox.
This recording is played to the recipient of the call so he/she may choose
to accept the call, send the call to another extension or reject it. If
the call is rejected, the WIN Automated Attendant - Voice Mail system will
forward the caller directly to that mailbox, which will play the personal
greeting and take a message. If accepted, the WIN Automated Attendant -
Voice Mail system connects the call to the user.
CALL
TRANSFER - The WIN Automated Attendant - Voice Mail system's
automated attendant feature will ask a caller to enter their desired extension
number and, when entered, transfer the call accordingly. The WIN Automated
Attendant - Voice Mail system may also be programmed to transfer calls
that are connected via Centrex lines.
CALLER
I.D.® INTEGRATION - When Caller I.D. is present, Smart
Voice will collect the incoming Caller I.D. information of callers who
leave a message in a User's mailbox . When a user retrieves messages, the
Caller I.D. will be announced before each message is played. The User may
press "#" to proceed directly to the message.
When a User having
a WIN Communications 32-Button Display telephone retrieves a message, the
internal extension number or Caller I.D. information of the person that
left the message, as well as the date and time that the message was left,
will be displayed.
COPY
BOXES - Messages left in one mailbox can be simultaneously
recorded in another mailbox. This allows departmental heads, supervisors,
etc. to have access to messages for departments, sales representatives,
part-time personnel, etc. Retrieving messages from a copy box does not
affect the status of the message in the primary box.
CALL
BLOCKING
- When enabled, this feature will process a caller directly to a mailbox
so he may leave a message without ever ringing the phone extension.
DATE
AND TIME STAMP - This feature allows the date and time a
message was received to be heard during message playback. This feature
can be configured, per mailbox, to be played back on request per message.
DIRECTORY
ASSISTANCE - This feature allows callers to enter up to
16 letters of the first or last name of the person they are calling to
find out the correct extension/mailbox number.
DISTRIBUTION
LISTS - Each mailbox User may define up to 10 private distribution
lists with an unlimited number of members (mailboxes) on each, for his
personal use when sending a message from his mailbox. A copy of his message
will be sent to all of the mailboxes on that list.
DTMF
INTERRUPT DIALING - The WIN Automated Attendant - Voice
Mail system allows a caller to interrupt the playback of menu options by
pressing any key on the DTMF dial pad. This feature allows sophisticated
User's to dial ahead of system prompts to access their desired option more
quickly.
FAX
CALLING (CNG) TONE RECOGNITION - All WIN Automated Attendant
- Voice Mail system ports have FAX CNG tone recognition. Incoming faxes
having a CNG tone can automatically transfer to a fax machine that is part
of the telephone system.
FUTURE
DELIVERY - A message may be recorded and scheduled to be
sent to a User or group of Users at a future date and time.
GREETING
BYPASS - By pressing the # sign your callers can bypass
your greeting and go directly to leaving you a message.
INFORMATION
RETRIEVAL - This feature allows routine caller questions
to be answered and recorded in the form of a mailbox greeting. Callers
in need of this information are transferred to the mailbox where this information
is played back accurately and efficiently without employee intervention.
LIVE
MONITOR - This feature allows a User the option of retrieving
a Caller that is leaving a message in the User's mailbox. NOTE - This
is an optional feature and must be configured by the Telephone System Installer.
Once configured, each time a Caller is recording a message, the User's
extension will be called. If the user has a Display telephone, the display
will say "Monitor Request." Once the call is answered the User will be
able to monitor the Caller. By pressing a button, the User can connect
to the caller and end the message.
MESSAGE
FORWARDING - This feature allows a mailbox User to forward
any received message to another mailbox with or without an attached comment.
MESSAGE
LENGTH (VARIABLE) - The WIN Automated Attendant - Voice
Mail system allows the message length to be defined on an individual basis
for each mailbox.
MESSAGE
NOTIFICATION - The WIN Automated Attendant - Voice Mail
system can provide notification to a station user. This is normally accomplished
via a message waiting light or "stutter" dial tone. (This feature is telephone
system dependent). Notification via a beeper, cellular phone, home phone,
etc. may be programmed on an individual basis for each mailbox.
MESSAGE
PURGING - The WIN Automated Attendant - Voice Mail system
can be programmed to automatically delete old (already been played) messages
that have been stored for a predefined period of time.
MESSAGE
PLAYBACK CONTROLS - The WIN Automated Attendant - Voice
Mail system allows Users to pause, skip forward or skip backwards in a
message during message playback.
MESSAGE
RETRIEVAL CONTROL - A Mailbox User may determine the order
in which messages will be played back. They may be played first in first
out (FIFO) or last in first out (LIFO) if they wish to hear the most recent
message first.
MULTIPLE
MAILBOX GREETING - Each Mailbox User has the ability to
record up to eight personal greetings. These may be scheduled to automatically
play to callers when a User is not available.
NIGHT
MODE - The WIN Automated Attendant - Voice Mail system can
be programmed to play a different set of caller instructions for off hours
as opposed to those heard during business hours.
NAME
RECORDING - A User may record his name (and extension),
which the WIN Automated Attendant - Voice Mail system will play for identification
purposes during a variety of call processing functions.
NUMBER
OF MESSAGES DISPLAY - In addition to the standard message
waiting notification seen on a display telephone, a user with a 32-Button
Display telephone will see the number of messages, which is shown in the
upper right corner.
PRIVATE
MESSAGES - Messages can be recorded for a User that are
meant only for them to hear and cannot be accidentally forwarded to another
User.
RECEIPT
VERIFICATION - The WIN Automated Attendant - Voice Mail
system can alert you when the recipient of your message has listened to
your message. This confirms that the message was received and played.
REMOTE
ADMINISTRATION - The WIN Automated Attendant - Voice Mail
system may be accessed remotely via computer. When accessed in this manner,
all functions available to the System Administrator on-site are available
remotely.
PASSWORD
PROTECTION - Each Mailbox User may define their own password
which prevents unauthorized access to his mailbox and assures message confidentiality.
Your password may be any number from one to eight digits in length. Until
you change it, your password is the same as your User I. D.
SCHEDULED
GREETINGS - The eight greetings available for each mailbox
may be scheduled to play at any specified time or date as required. Greetings
may also be scheduled to play only on certain days of the week. This feature
may be locked "on" or "off", thereby preventing a change of the greeting.
URGENT
MESSAGES - A message can be recorded for a User with a priority
header, making it the first message the User hears when picking up messages.
For Users with WIN Communications 20-Button or 32-Button Display telephones,
the red Information LED will flash at a very rapid pace.
